Director of Finance and Operations

PURPOSE

The Director of Finance and Operations is responsible for providing financial and operational leadership to ensure Wolf PAC’s infrastructure effectively supports its mission, strategic priorities, and day-to-day operations.

Wolf Performing Arts Center (Wolf PAC) is a non-profit organization with the following mission: to provide a safe, inclusive space for young people to express their authentic selves through learning and experiencing theatre.

The Director of Finance and Operations will work in partnership with the office staff and most closely with the Executive Director.

Key financial responsibilities include:

• Oversee the preparation and analysis of financial statements, budgets, and forecasts
• Monitor day-to-day organizational spending and financial reporting, specifically cash flow, liquidity, reserves, and budget-to-actual performance
• Oversee payroll, accounts payable, and general financial processes
• Manage restricted and regulated funding sources, ensuring appropriate tracking and use of funds and compliance with all associated requirements, reporting obligations, and deadlines
• Understand the financial performance of individual programs and collaborate with Executive Director on analysis to inform decisions around pricing, enrollment, staffing, growth, etc.
• Collaborate with Executive Director to create strategies that support company goals and consider overall financial health of organization
• Interpret financial numbers, identify concerns and opportunities, and bring those to the Executive Director with recommendations
• Partner with the Executive Director to prepare financial information for the Board/Finance Committee
• Create, update, and present concise internal reports or dashboards that will allow the Executive Director and program leaders to make sound decisions in managing programs
• Serve as the primary liaison to auditors, accountants, banking partners, insurance providers, and other financial vendors
• Identify potential risks and collaborate with Executive Director to strategize opportunities to avoid financial loss and programmatic disruption
• Strengthen appropriate financial controls, reporting practices, and fiscal accountability throughout the organization and regularly evaluate controls, approval processes, segregation of duties, and safeguards for Wolf PAC's assets

Key operational responsibilities include:

• Utilize and evaluate Wolf PAC's operational systems, technology, facilities, and administrative infrastructure to support the organization's mission and strategic priorities
• Maintain policies, procedures, and compliance practices that promote operational excellence, accountability, and responsible stewardship of organizational resources
• Provide financial, operational, and physical resources to the Executive Director in support of Wolf PAC's strategic plan while continually evaluating systems and processes to strengthen organizational effectiveness and long-term sustainability
• Create contracts and manage relationships with vendors and suppliers to ensure favorable terms and uninterrupted supply of goods and services (such as managing systems, contractors for repairs, etc.)
• Manage HR, compliance, and staff documentation (employee records, payroll/benefits administration, onboarding/offboarding documentation, compliance, etc.) in partnership with the Business Assistant
• Coordinate organizational risk management including insurance, contracts, regulatory compliance, and other operational safeguards

Education: Bachelor’s degree in finance, accounting, business administration, or a related field

Experience: Significant experience in financial management and operations; verifiable experience participating in internal or external audits; knowledge of EITC program (preferred); experience using accounting software, payroll systems, spreadsheets, expense management systems, and billing systems

Skills: Strong analytical skills, strategic thinking, and the ability to manage complex budgets and financial forecasts

Work environment: The role allows for split time between working from home and working in our Bryn Mawr, PA, office. The Director of Finance and Operations direct reports to the Executive Director

Salary: $65,000-$72,000, based on experience
