Grants and Donor Relations Coordinator

The Grants and Donor Relations Coordinator is responsible for the grants and donor relations functions to support the Advancement Department initiatives. Reporting to the Senior Director of Advancement, this position supports maintaining and building foundation, corporate, and government funding support and supporting excellent donor relations primarily through written materials.

DUTIES + RESPONSIBILITIES

Grants

• Research and track prospective foundation, corporate, and government funding opportunities aligned with organizational priorities
• Draft and compile grant narratives, budgets, and attachments in collaboration with program and administrative staff
• Coordinate the preparation, submission, and tracking of grant proposals, letters of inquiry, and supporting materials
• Maintain a comprehensive grants calendar to ensure deadlines and reporting requirements are met
• Coordinate post-award reporting, compliance, and documentation
• Maintain accurate grant records, files, and metrics for internal and external reporting
• Maintain and update organizational records in the organization’s CRM

Donor Relations

• Support member and donor cultivation, stewardship, and retention efforts
• Coordinate donor proposals, custom donor acknowledgments, and recognition materials as needed
• Assist with member and donor communications, including appeals, newsletters, board packets, and impact reports
• Support planning and execution of donor events, briefings, and cultivation activities, work all fundraising events.
• Assist with tracking donor giving, engagement, and renewal opportunities as needed
• Maintain and update donor records in the organization’s CRM in alignment with support efforts

Institutional Support

• Support the on-going fundraising efforts of the institution through other duties as assigned by FWM Leadership.

This job has no staff supervisory responsibilities.

QUALIFICATIONS

• Bachelor’s Degree required
• 1–3 years’ nonprofit experience, preferably in an arts/culture development setting
• Strong writing and communication skills required
• Grants process experiences preferred
• Familiarity in database management
• Familiarity with advancement best practices
• Familiarity with contemporary art and art community preferred
• Familiarity with Philadelphia philanthropic landscape preferred

POSITION + COMPENSATION DETAILS

• The salary for this position is $48,000.
• This position is Full-Time, Exempt, and 40 hours per week.
• This position is part of the AFSCME Local 397 bargaining unit.
• This position reports to Senior Director of Advancement.
