Position Summary

The Managing Director (MD) serves as the senior administrative and operational leader of Community Music School (CMS), overseeing the day-to-day operations, financial administration, marketing implementation, facility management, and organizational systems that support the mission and programs of the School.

Reporting directly to the Executive Artistic Director, the Managing Director works collaboratively with staff, faculty, Board members, volunteers, and community partners to ensure efficient and effective organizational operations and an exceptional experience for students, families, faculty, and patrons.

This is a full-time exempt position requiring flexibility for occasional evening and weekend events. Expected hours are minimum 35 hours per week. This position is primarily in-person, located in Trappe, Pa.

Essential Responsibilities

• Operations & Administration
• Oversee the daily administrative operations of CMS.
• Manage organizational systems, workflows, and administrative procedures.
• Supervise administrative staff, office operations, and volunteer coordination.
• Support the implementation of organizational goals and strategic initiatives.
• Maintain organizational records, policies, and operational documentation.
• Ensure strong customer service and communication standards throughout the organization.
• Coordinate administrative support for concerts, performances, special events, and educational programming.

Financial Administration

• Assist with preparation and monitoring of annual budgets in collaboration with the Executive Artistic Director and Board leadership.
• Oversee payroll administration, billing systems, accounts coordination, and financial procedures.
• Work with accounting personnel and external vendors to ensure accurate financial reporting and compliance.
• Monitor operational expenditures and support responsible financial management.
• Assist with financial reporting and organizational forecasting.

Facility & Vendor Management

• Oversee facility operations, scheduling systems, and building-related logistics.
• Coordinate facility rentals and third-party usage agreements.
• Manage vendor relationships, contracts, supplies, and service providers.
• Ensure operational readiness and support for programs, concerts, and events.
• Assist in maintaining a safe, welcoming, and professional environment for all visitors and participants.

Marketing & Communications

• Implement marketing, communications, and audience engagement strategies.
• Coordinate e-blasts, newsletters, social media content, website updates, advertising, and promotional materials.
• Support enrollment growth, audience development, and public visibility initiatives.
• Ensure consistency in organizational branding and messaging.

Development & Community Engagement

• Support fundraising initiatives, donor stewardship activities, sponsorship outreach, and special events.
• Assist with grant administration and development tracking systems.
• Coordinate operational logistics for fundraising campaigns and events, including Performathon and community initiatives.
• Support community partnerships and outreach activities that advance the mission of CMS.

Technology & Systems

• Oversee administrative technology systems, databases, and office platforms.
• Ensure accurate maintenance of student, donor, and organizational records.
• Support ongoing improvements to operational efficiency and administrative systems.

Qualifications

• Bachelor’s degree in Business Administration, Arts Administration, Nonprofit Management, Communications, or related field preferred.
• Minimum of 3–5 years of administrative, operational, or nonprofit management experience.
• Strong organizational and project management skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Experience with budgeting, office administration, and event coordination preferred.
• Proficiency with Microsoft Office, quickbooks, database systems, and digital communication platforms.
• Ability to work collaboratively and professionally with staff, faculty, families, donors, and community partners.

Physical & Schedule Requirements

• Expected hours are minimum 35 hours per week.
• This position is primarily in-person, located in Trappe, Pa.
• Ability to work evenings and weekends as needed for performances and events.
• Ability to occasionally lift and move tables, chairs, equipment, and supplies up to 25 pounds.
• Reliable transportation required for organizational and community events.

Additional Duties

• Perform other duties and responsibilities as assigned based on organizational and business needs.

Salary Range: $50,000–$55,000, commensurate with experience.

Benefits: While CMS does not currently offer medical benefits, our benefits package includes three weeks of paid vacation, flexible work schedule, a 3% SIMPLE IRA employer match, family lesson discounts, paid time off for all major holidays, and paid closure between Christmas and New Year's Day.
