Title: Program Assistant 
Reports To: MusiCore Manager
Status: Part Time, Hourly
Compensation: $20.00/hour, 16 hours a week

The MusiCore Program Assistant provides essential administrative support to ensure the smooth operation of the MusiCore After School program. This part-time role involves coordinating various administrative tasks to support the program's goals of enhancing academic confidence, social-emotional development, creativity, and musical ability among students. The MusiCore Program Assistant will be a motivation to students in music and in life.

Essential Job Functions

Administrative Tasks:

  • Printing Sign-In Sheets: Printing updated sign in sheets weekly 
  • Roster Updates: Maintain and update the student roster as communicated by the MusiCore Manager
  • Attendance Tracking: Track student attendance using Fillout, Daily Attendance Trackers, Cityspan, and Airtable activities
  • Attendance Binder Review: Check Student Attendance Binders weekly to ensure all attendance sheets are organized by date.
  • Food + Meals Distribution: Distribute school-district meals to students and maintain accurate meal distribution records while updating required reporting sheets
  • Rotation Support + Announcements: Utilize walkie-talkies to communicate class block transitions and rotation announcements while supporting student schedule navigation
  • Circle Up Activities: Create and lead circle up activities during onsite days, as requested
  • New Student Orientations: Review the site-specific handbooks and Rules of Rock with new students, within two weeks of their enrollment 
  • Welcome Packages: Assemble welcome packages for new students after orientation completion 
  • Intake Surveys: Provide intake surveys to new students during orientation 
  • Binders: Prepare new student binder with needed materials (binder cover, Rules of Rock, instrument care sheet, student schedule) 

Program Maintenance:

  • Maintain an organized office environment and ensure supplies and materials are appropriately labeled and stored
  • Monitor office supply inventory and communicate replenishment needs to the MusiCore Manager
  • Maintain and organize program technology and equipment, including walkie-talkies, laptops, cords, storage carts, and drawers
  • Ensure office equipment remains properly stored, accessible, and in good working condition

Additional Duties:

  • Monitor doors and entry procedures
  • Ensure all students sign in and pick up their binders
  • Ensure all students sign out and return their binders
  • Inform MusiCore Manager when SEPTA card supply is running low so there’s sufficient time to order more
  • Perform other duties as assigned by the MusiCore Manager to support the program’s needs and objectives.
